A freelancer does not need the same tool as a 40-person company. Most of the time, the job is simpler: send professional invoices, get paid without awkward follow-up, keep clean records, and avoid tax-time panic.

The problem is that invoicing comparisons often mix very different products: accounting suites, payment processors, quote tools, free invoice generators, and short free trials presented as if they were free plans.

This guide keeps the lens narrow: which invoicing tool is actually useful for a freelancer, consultant, creator, contractor, or sole trader in 2025?

For the French source article, the focus was auto-entrepreneurs and micro-enterprises. In this English version, I adapted the selection for a more international audience. French-specific products such as Abby, Freebe, Indy, and Shine are still worth knowing if you operate in France, but the main comparison below favors tools with broader availability.

I rechecked the official pricing pages on June 17, 2026. When a vendor shows USD pricing, I keep USD. When pricing varies by country or promotion, I say so instead of pretending there is one universal price.

What freelancers should check before price

A cheap invoicing app can become expensive if it creates admin work later. Before choosing, check five things:

  1. Free plan vs free trial: a 30-day trial is not a permanent free plan.
  2. Client and invoice limits: some free plans are generous, others are only demos.
  3. Payment fees: monthly price is not the full cost if clients pay by card or bank transfer.
  4. Accounting fit: some tools only invoice; others include expenses, bank feeds, and reports.
  5. Local tax support: VAT, sales tax, GST, MTD, or country-specific filing features can matter more than the headline price.

The right tool is not always the most powerful one. It is the one you can keep using without turning invoicing into a second job.

1. Zoho Invoice: the best pure free invoicing choice

Zoho Invoice is the first tool to check if your budget is zero and your need is clearly invoicing. The official pricing page says Zoho Invoice is free for small business owners, freelancers, and entrepreneurs, with no subscription fee.

That matters because many “free invoicing” tools are really free trials, invoice generators without customer records, or products that become paid as soon as you want recurring invoices or payment tracking. Zoho Invoice is more credible: quotes, invoices, time tracking, expenses, recurring invoices, client portals, and payment reminders are all part of the product.

The honest caveat is that Zoho Invoice is not the same as a full accounting suite. If you want advanced bookkeeping, bank reconciliation, payroll, or deeper reporting, you may eventually move to Zoho Books or another accounting product. But for a solo operator who mainly needs to create clean invoices and keep client billing under control, that is not a problem.

2. Wave: the best free invoicing + light bookkeeping stack

Wave is especially strong for freelancers in the United States and Canada. The Starter plan is free and includes unlimited estimates, invoices, bills, and bookkeeping records. That makes it more than a pretty invoice maker: it can become your lightweight financial dashboard.

The Pro plan is where Wave starts charging for more automation. The official pricing page showed 190 USD/year for Pro when billed annually, with Canadian pricing also displayed. Payment processing fees apply when you accept online payments, so do not compare Wave only on the subscription price.

For a freelancer who wants a simple, polished invoicing workflow and basic accounting visibility, Wave is a very practical default. It is not the right pick if you are outside Wave's supported markets or if your accounting requirements are already complex.

3. Square Invoices: the easiest path from invoice to payment

Square Invoices makes the most sense when getting paid is more important than building a full accounting system. If you already use Square for appointments, in-person payments, services, or retail, the invoicing layer is a natural extension.

The free plan lets you send invoices and estimates, collect deposits, schedule reminders, and track invoice status. Square's broader pricing page also says Square Free has no monthly subscription cost and that you pay processing fees when you take a payment. Paid Square tiers and add-ons unlock more advanced workflows, and Square advertises a free trial for paid tiers.

The honest limitation is that Square is payment-led. It is excellent for sending invoices and getting paid, but it is not the most neutral or flexible accounting back office. If your business is already centered on Square payments, that is a strength. If not, compare Zoho, Wave, or FreshBooks first.

4. FreshBooks: the best paid upgrade for service freelancers

FreshBooks is not the cheapest option, and that is the point. It is built for freelancers and service businesses that want invoicing, expenses, time tracking, estimates, proposals, reports, and accountant access in a smoother paid product.

The official US pricing page showed a large introductory promotion at the time of checking: Lite from 2.30 USD/mo, Plus from 4.30 USD/mo, and Premium from 7.00 USD/mo for the promotional period, with a 30-day trial. FreshBooks also showed regular plan prices beside the promo on parts of the page, so treat the promo as a temporary acquisition offer, not the real long-term budget.

FreshBooks is best when you invoice clients every month, track time or expenses, and want admin to feel less messy. It is overkill if you just need two invoices a quarter.

5. Invoice Ninja: the most flexible free/customization option

Invoice Ninja is a good fit if you care about customization, client portals, quotes, recurring billing, partial payments, and control over the invoice experience. It has a free plan, paid cloud plans, and a more technical self-hosting angle for people who want that route.

The official pricing page showed a Free plan at 0 USD/year, but with a key limit: 5 clients. That is enough for a consultant with a small client base, but not enough for someone billing many one-off customers. The Pro plan was displayed at 140 USD/year on annual billing, and Enterprise from 180 USD/year depending on users.

This is not the most beginner-friendly option for everyone. But if you want more control than a simple invoice generator and you are comfortable configuring your workflow, Invoice Ninja deserves a serious look.

6. QuickBooks Solopreneur: the tax-aware US default

QuickBooks Solopreneur is less of a pure invoicing app and more of a one-person business finance product. That can be exactly what a US freelancer needs: income and expense tracking, deductions, estimates, invoices, payment support, and a clearer path toward tax preparation.

The official QuickBooks product page showed Solopreneur at 20 USD/mo list price, with a 10 USD/mo promotional price for the first three months and a 30-day free trial. QuickBooks Online Simple Start was also listed separately at a higher list price, so do not confuse the two.

If your biggest problem is “I send invoices,” QuickBooks may be heavier than necessary. If your biggest problem is “I need my freelance income, expenses, and tax records to stop living in scattered spreadsheets,” it becomes more interesting.

What about Abby, Freebe, Indy, Shine, Zervant, and Facture.net?

The French source article compares tools built around the French auto-entrepreneur and micro-enterprise context. Those tools are not “bad” for English readers; they are just more location-specific.

  • Abby, Freebe, Indy, and Shine make the most sense if you operate in France and need French admin workflows such as micro-enterprise tracking, VAT thresholds, Urssaf-related habits, or local invoicing conventions.
  • Facture.net is a useful free French invoice tool, but it is not the first tool I would recommend to an international freelancer.
  • Zervant is more European-friendly and can still be worth comparing if you operate in a supported country.

For a US, Canadian, UK, or broadly international freelancer, start with the six tools above. Then check local compliance requirements before committing.

Do not pay for complexity before you need it. But do not stay on a fragile spreadsheet once clients, deposits, payment reminders, and tax records start getting real.
